<p>Machined parts should be accompanied by records that identify the released revision, material and lot, inspected characteristics, measurement method and state, actual results, disposition, and shipment link. The exact package depends on the drawing and quality agreement, but a useful record lets the buyer trace every conclusion to a feature and a method. A certificate or a single dimensional report is not automatically proof that all functional interfaces were accepted.</p>

<h3 id="identify-the-part-and-its-configuration"><strong>Identify the Part and Its Configuration</strong></h3>

<p>Record the part number, drawing revision, model revision when relevant, quantity, lot or heat, and the unit or serial range covered. If replacements, reworked units, or split shipments are included, keep them visible rather than combining them into an unexplained total. The receiving team should be able to match the record to labels and packing documentation without guessing which revision was inspected.</p>

<p>Material evidence should state grade, condition, supplier or heat reference, and the certificate identifier. If heat treatment, coating, plating, or another outside process is required, include the process certificate or a traceable reference. A material certificate confirms the material claim; it does not replace dimensional or functional inspection.</p>

<h3 id="map-each-ctq-to-a-method"><strong>Map Each CTQ to a Method</strong></h3>

<p>Use a characteristic list that separates size, location, form, surface condition, and functional fit. For each CTQ, show nominal, tolerance or acceptance rule, actual result, units, instrument or method, and measurement condition. A diameter result does not establish an axis relationship. A visual finish check does not establish a numerical roughness requirement. A thread gauge result does not establish thread position relative to a datum.</p>

<h3 id="state-measurement-condition-and-access"><strong>State Measurement Condition and Access</strong></h3>

<p>Note whether the part was cleaned, deburred, coated, temperature-equilibrated, or supported in a fixture during measurement. Thin walls can move after unclamping; residue can change a sealing face; a coating can change a final dimension. If a deep bore or hidden surface cannot be reached by the proposed instrument, record the limitation and the approved alternative. Do not imply full coverage when the method cannot access the feature.</p>

<p>Identify the instrument, method, or gauge used and show calibration or verification status according to the quality agreement. The record need not disclose proprietary software settings, but it should provide enough information for the buyer to understand how the result was obtained and whether the method is appropriate for the characteristic.</p>

<h3 id="document-sampling-and-reaction"><strong>Document Sampling and Reaction</strong></h3>

<p>If not every unit is inspected, state the sample size, selection basis, and characteristics covered. Link sampled units to identifiers so that a receiving review can locate them. The plan should state what happens when a sample fails: hold the lot, expand the check, identify suspect units, or request an approved disposition. A larger sample cannot compensate for an unsuitable datum or an unstable measurement method.</p>

<h3 id="make-exceptions-auditable"><strong>Make Exceptions Auditable</strong></h3>

<p>Include deviation, rework, replacement, and concession records with the affected revision, characteristic, quantity, reason, and approval authority. Keep the original result visible when rework changes the measured state. This preserves the difference between an as-machined result, a reworked result, and a final accepted result.</p>

<p>Before shipment, compare the record package with the purchase order and drawing. Confirm that the requested certificates, inspection results, labels, and packaging references are present. If a required record is missing, hold the receiving decision and obtain the defined evidence rather than treating a visually acceptable part as fully released.</p>
