Thread and surface evidence should identify the specification, location, datum or axis, method, instrument, state, unit, sample, result, and reaction. A plug gauge can show engagement but not every thread characteristic; a roughness value can describe one path but not a hidden root or flank. The buyer should retain evidence that answers the functional risk and clearly state what remains outside the method. The bushing images show visible thread and opening geometry only.
List nominal size, pitch, class, handedness, length, relief, lead-in, mating component, lubricant, torque or preload, and temperature where relevant. Separate major, minor, pitch diameter, lead, flank, runout, shoulder, and burr requirements. Keep drawing and model revisions with the report. Do not infer thread class from a photograph or a smooth exterior.
The paired views show one cylindrical bushing with an external thread, end opening, and side opening from different angles. They cannot prove material, dimensions, tolerance, pressure, load, roughness, or application.
Identify primary axis, datum, support, orientation, clamping or relaxed state, and alignment method. A thread can engage while its axis is shifted relative to a bore or shoulder. A CMM result without a frame cannot prove coaxiality; an indicator sweep can show movement without naming the relationship. Link fixture or alignment file to the report.
Use ring, plug, thread micrometer, optical, CMM, gauge, or functional assembly methods within their scope. Record instrument identity, resolution, calibration, operator, temperature, cleaning, support, and timing. A go gauge proves fit under its own condition, not pitch diameter or flank form. Preserve raw values near limits and avoid rounding away variation.
Mark thread flank, crest, root, end face, bore, side opening, groove, and exterior areas. State whether each is sealing, sliding, locating, cosmetic, or nonfunctional. A flat end-face reading cannot represent a thread root. If a stylus or probe cannot access an area, record the boundary and alternate evidence rather than implying full coverage.
For numeric texture, record parameter, direction, cutoff, filter, evaluation length, instrument, sample, state, and acceptance. For visual texture, retain reference revision, lighting, viewing distance, permitted marks, and inspector. A visual match cannot prove a number, and a number cannot replace a separate cosmetic decision. Keep as-machined, cleaned, coated, and assembled states distinct.
Record tool, insert, program, coolant, support, fixture, material heat or lot, condition, and setup. Tool wear, material, and temperature influence thread and texture. A change creates a new state requiring a first-piece or sample. Link records to unit or sub-lot identity through outside processing.
Use representative mating hardware or a defined gauge for engagement, seating, movement, torque, or leakage where applicable. Record condition and result. Functional evidence reveals combined effects but does not prove unmeasured geometry, material, or hardness. Keep it beside dimensional and surface records.
For a failed thread, burr, rough surface, or mixed unit, preserve original result, affected range, action, new result, and approver. Rework can remove stock, change a chamfer, or alter a surface. A replacement is a new record. Do not report only the final pass.
Store the drawing revision, inspection file, raw trace, gauge identification, material record, and packing identity under a controlled job or lot reference. The reference should remain attached when parts move from machining to deburring, washing, coating, outside inspection, and receiving. Record who created, reviewed, transferred, and approved each item, together with the effective date. A file name that contains only a part number cannot show whether it belongs to the current revision or an earlier shipment.
Set a retention period that covers the expected service, warranty, and repeat-order decision, and define who can supersede a record. If a report is corrected, keep the original, identify the correction reason, and mark the replacement as the active version. Do not silently overwrite a near-limit trace or a failed gauge result. This chain lets the buyer reconstruct which evidence supported release and which later event triggered a new check.
In the RFQ, specify thread, surface, datum, method, sample, instrument, state, raw-data needs, material, cleaning, coating, packaging, and change authority. Ask for a redacted first-piece and reaction format. A quality reference can organize fields, but the actual record remains part-specific.
Accept when each record states what it measures, under which state, for which units, and what decision it supports. Hold when a gauge is presented as full geometry proof, a roughness value lacks direction, or rework overwrote a failure. The next buyer action is to approve the evidence map before release.
