Records show that a boring supplier controlled changes when they link each revision, tool or fixture event, material state, affected unit range, recheck, approval, and final release decision to the actual part or lot. A machine list or a final dimensional sheet cannot reveal whether a locator was replaced, a program changed, or a tool drifted before the measurement. Buyers should define a chronological record chain and require the original result to remain visible when a correction occurs.
Each traveler, setup sheet, inspection report, certificate, deviation, and shipment record should state part number, drawing and model revision, work order, unit or lot range, material designation and condition, and process date. Link split housing halves or matched parts explicitly. A correct date with a superseded revision is not evidence for the current part. Keep status history rather than overwriting a prior document.
Record who approved an interpretation, change, deviation, or restart. An internal change number is useful only when it can be related to the affected units and evidence. If a file is corrected after release, label the correction, reason, owner, date, and original value. This lets the buyer distinguish a genuine remeasurement from an overwritten failure.
Record machine, fixture, locator, holder, tool or insert, program, coolant, support, orientation, and inspection method where each affects the CTQ. Include tool installation, replacement, dressing or adjustment, first-piece approval, alarms, chatter, collision, chip event, or unexpected contact. Exact parameters belong in the controlled process plan when they are decision-relevant; otherwise state the approved range and change authority.
Bound the unit range for each event with time, lot, serial, setup, or material heat. If a fixture change occurs between units, show when the old and new conditions became effective. A later passing check does not prove that earlier units were unaffected. Preserve the original process record and link all repeated measurements to the same unit.
For diameter, state depths, angles, gauge, temperature, units, calibration, support, and sampling. For form and axis, state datum frame, alignment, probe or scan, sections, and raw-data reference. For paired bores, state whether halves are assembled, fastener state, and common frame. For fit, identify mating hardware, lubricant, load, speed, temperature, and acceptance. One method must not be described as proving an unmeasured characteristic.
Record inaccessible regions and alternate methods explicitly. A probe qualification demonstrates readiness under a defined condition; it does not prove that a deep shoulder was measured. If a destructive section or subset is used, state population and remaining boundary. Keep instrument configuration and original traces when the report may be challenged or compared later.
Change notices should cover drawing, model, material, heat treatment, machine, fixture, locator, holder, tool, program, coolant, support, inspection, cleaning, outside processor, and packaging. State whether a change is temporary or permanent, its effective date, affected units, validation, owner, and restart approval. Require notice before shipment when a change can alter a bore axis, fit, surface, or evidence method.
Ask what checks are repeated after each class of change. A holder replacement may require stiffness and axis checks; a datum locator may require transfer verification; a measurement-method change may require correlation. Do not accept a generic “first article” statement without naming the CTQs and state. Keep the old and new conditions distinguishable.
A deviation record should identify requirement, actual condition, unit range, technical rationale, risk boundary, duration, approver, and additional inspection. If re-boring is proposed, state remaining stock, datum condition, axis impact, pair identity, and every measurement to repeat. “Accepted as is” without those fields is not a controlled disposition. Preserve the nonconformance and rework result together.
If a change or failure cannot be bounded, contain the larger plausible range and expand inspection. Do not fill a missing value from a neighboring unit or average. If evidence cannot be recovered, obtain an approved deviation or perform the required reinspection. The record should show who accepted the limitation and for which shipment.
Heat treatment, coating, cleaning, passivation, assembly, and packaging can alter a bore or its seating. Link processor, specification, batch, masking, before-and-after checks, and delivered state. A certificate supports a processor claim within scope; it does not replace final bore geometry or fit evidence. If the state measured differs from the state shipped, define the recheck or correlation.
Record receipt inspection, damage, contamination, fixture marks, and any re-cleaning. Keep processor changes tied to unit or lot and date. A generic certificate attached to a shipment without a batch link is weak evidence. Chronology matters: the buyer should see which state existed when each decision was made.
Provide a contents index that leads from drawing to traveler, setup, process event, inspection, certificate, deviation, change notice, and shipment. Identify missing and not-applicable records deliberately. Protect raw data from silent edits. A redacted example may demonstrate format, but it is not evidence for the current part. If records are exported from proprietary software, supply a readable stable format.
When a reviewer asks why a bore was released, the answer should be reconstructible from identifiers, revision, state, result, and approval. If a document is generated after shipment, label it as a later addition and explain why. Do not backdate a record or remove an unfavorable observation.
Provide required identifiers, revisions, process fields, measurement state, raw-data expectations, change notice timing, deviation format, retention, access, and approval roles. Ask suppliers to show how tool, fixture, program, material, or inspection changes link to units and rechecks. Request a redacted correction history. Compare record plans on traceability, not document volume.
Approve the record plan when changes are chronological, lot-linked, owner-approved, and connected to repeated evidence. Hold release for unlinked certificates, overwritten measurements, unknown affected ranges, or generic capability statements. A controlled boring supplier makes every process change visible enough for the buyer to verify the delivered bore and its evidence boundary.
